All final and binding bookings must be made in writing via email to madeirageotours@gmail.com.

No prepayment or deposit is required. Madeira Geo Tours operates on a post-service payment policy, meaning payment is only collected upon the successful completion of the tour. This reflects our complete confidence in the quality of the service provided.

Clients requiring a formal invoice must request it and provide all necessary billing details (such as Tax Identification Number) before the conclusion of the tour. Invoices cannot be altered after issuance.

The full amount must be paid at the end of the tour by credit card or cash, exclusively in Euros (EUR). Madeira Geo Tours does not accept payments in external or foreign currency and is not responsible for any exchange rate variations or fluctuations.

Clients may cancel their booked arrangements until 48 hours prior to the scheduled start time. Written notice of cancellation must be sent via email, originating from the person who made the original booking.

The client responsible for the original booking is required to formally reconfirm their participation, the final number of participants, the acceptance of the tour details, and the total amount payable, via email between 48 and 24 hours prior to the scheduled start time. Failure to reconfirm within this mandatory period may result in the automatic cancellation of the booking by Madeira Geo Tours.

The client responsible for the original booking must provide all the required information (such as Full Name, Date of Birth, Nationality, ID Card Number/Passport Number, Tax Identification Number, Address, etc.) from all participants no later than 24 hours prior to the scheduled tour start time for operational and insurance compliance. The use of this data is strictly limited to the execution of the contracted service and internal compliance.

Clients are required to be present at the agreed pickup location at the designated time. A maximum waiting period of 30 minutes will be observed by the guide/service provider. Failure to appear within this grace period constitutes a Client No-Show, leading to the automatic cancellation of the service, with the Client remaining liable for the full contracted amount.

Madeira Geo Tours is not responsible for any refunds, pre-reservations, or payment disputes processed or mediated by external online booking platforms (OTAs) such as Get Your Guide, Viator, etc. All financial claims relating to advance payments or cancellations through these platforms must be directed to the respective platform.

For the safety of all participants and staff, Madeira Geo Tours reserves the absolute right at any time to adjust, modify, postpone, or cancel tours. Such adjustments may occur due to adverse weather conditions (as per IPMA alerts), unforeseen natural hazards, or official restrictions and recommendations issued by relevant authorities, including the IFCN (Forests and Nature Conservation Institute), the Regional Civil Protection Service (SRPC), and the Portuguese Tourism Authority (Turismo de Portugal).

In compliance with Portuguese law (Decree-Law No. 108/2009, as amended), Madeira Geo Tours holds mandatory Personal Accident and Civil Liability insurance policies covering all registered activities.

Madeira Geo Tours commits to providing essential information regarding tour requirements, safety guidelines, and recommended gear. The client acknowledges receipt of this information and assumes full responsibility for complying with these guidelines, including fitness levels and health conditions necessary for participation.

Madeira Geo Tours shall not be held liable for any injuries, accidents, loss, or death resulting from the client’s own negligence, the actions of third parties unrelated to the tour, or factors beyond the Madeira Geo Tours’s reasonable control (Force Majeure).

The client making the booking warrants that they have the full authority to accept these Terms and Conditions on behalf of all participants in their party and assumes full responsibility for ensuring that all members of the party comply with the Terms and Conditions, safety instructions, and operational requirements of Madeira Geo Tours.

Both Madeira Geo Tours and the client shall act in good faith and demonstrate mutual cooperation throughout the duration of the booked arrangements, particularly in matters related to safety, communication, compliance with requirements, timeliness, and financial settlement. Any breach of this duty of good faith or cooperation shall constitute a material breach of these Terms and Conditions, potentially leading to the immediate termination of the service.

Should any disagreement or dispute arise, the matter shall be governed by Portuguese law. The parties agree that the competent and exclusive jurisdiction for settlement shall be the Courts of Funchal, Madeira, Portugal.

If any provision of these Terms and Conditions is determined to be unlawful, void, or unenforceable, such provision shall nonetheless be enforceable to the fullest extent permitted by applicable law, and the unenforceable portion shall be deemed to be severed from these Terms and Conditions, which shall not affect the validity and enforceability of any other remaining provisions.

Madeira Geo Tours reserves the right to change, amend, or modify these Terms and Conditions at any time. The updated Terms and Conditions will be effective immediately upon posting on the Madeira Geo Tours website. The client is responsible for regularly reviewing the Terms and Conditions.
